A new way for NDT operation managers to reduce costs.

As the NDT market becomes more and more competitive, NDT operation managers find themselves under constant pressure to come up with ways to reduce costs and help preserve their company’s profit margins.

With that in mind, Amotus Solutions recently performed a study to shed some light on a significant source of recurring cost for inspection companies: the file management process (that is, the inspectors’ data acquisition/archiving process using USB keys).

To help NDT operation managers quickly get an idea of the costs associated with this issue, we focused our study on 3 scenarios, each representing a different company sizes (10, 15, and 25 inspectors).

The yearly cost figure is based on a $50/hour cost per inspector and a total of 50 weeks of 40 hours over a year (2,000 hours/year). We also assumed that each inspector uses 5 USB keys.

Aside from the number of inspectors, the two most impactful factors behind file management costs are the proportion of jobs requiring files to be transferred to a central server (private server or cloud), and the time required daily for the file management process. For the presentation of this study, we assumed a 75% job proportion and a file management process of 35 minutes/day (shown in the figure below).

Scenario #1:Impact on Costs with 10 inspectors

The analysis is made for a company of 10 inspectors.  The proportion of jobs requiring files to be transferred to a central server remains the same (75%) as well as the time required daily to transfer data to a central server (35 minutes).

Scenario #2: Impact on Costs with 15 Inspectors

Our assumption changes a little for this new scenario. Now the analysis is made for a company of 15 inspectors.  The proportion of jobs requiring files to be transferred to a central server remains the same (75%) as well as the time required daily to transfer data to a central server (35 minutes).

Scenario #3: Impact on Costs with 25 Inspectors

Our assumption changes a little for this new scenario. Now the analysis is made for a company of 25 inspectors.  The proportion of jobs requiring files to be transferred to a central server remains the same (75%) and the time required daily to transfer data to a central server (35 minutes).

Conclusion

As we can see, even an optimised file management process taking as little as 35 minutes per day can lead to significant costs over a long period of time. Moreover, the impact on costs is compounded as the company grows and increases its number of inspectors (from $400 k to $2 M per year when growing from 10 to 25 inspectors).

The challenge for NDT inspection companies in addressing this situation is that there is no one single step in the file management process that is significantly more time consuming than others, and would therefore represent a significant potential source of savings. Rather, these high costs are a result of several small steps combined (moving to the proper location, copying files, login-on to a server, and archiving and sorting files). This indicates that a proper way to address this issue would be to review the process itself, rather than optimising its sub-components.
